What is Data Formatting?
Data formatting refers to the process of changing the appearance and presentation of data within a spreadsheet or document, without altering the underlying data value itself. The primary goal is to improve readability, enhance visual appeal, emphasize key information, and ensure consistency. It involves modifying attributes like number styles (currency, percentage, date), font types, sizes, colors, alignment, borders, and cell shading.
Tools Used to Format Data (in typical spreadsheet software like Excel):
Common tools used for data formatting are usually found in the 'Home' tab on the ribbon, within groups like:
1. Font Group: Tools to change font type (e.g., Calibri, Arial), font size, apply bold, italics, underline, and change font color.
2. Alignment Group: Tools to control horizontal alignment (left, center, right), vertical alignment (top, middle, bottom), text wrapping, merging cells, and text orientation.
3. Number Group: Tools to apply specific number formats like General, Number, Currency, Accounting, Short Date, Long Date, Time, Percentage, Fraction, Scientific. Also includes options to increase/decrease decimal places and use comma separators.
4. Styles Group (Conditional Formatting, Format as Table, Cell Styles):
* \textit{Conditional Formatting:} Applies specific formatting (e.g., colors, icons, data bars) automatically based on cell values meeting certain criteria.
* \textit{Format as Table:} Applies a predefined table style with features like filtering and sorting.
* \textit{Cell Styles:} Applies a predefined combination of formatting attributes (font, color, borders, etc.) quickly.
5. Fill Color / Shading Tool: (Often in Font group) Applies background color to cells.
6. Borders Tool: (Often in Font group) Applies various border styles and colors around cells or ranges.
7. Format Painter: Copies formatting from one cell or range and applies it to another.
